Key Holding Services

DSC_4031.jpg

A key holding service is offered to give you full peace of mind that your site is in trusted hands during periods of staff absence. Whether you require site security checks while the building is closed, or scheduled opening and securing of the premises Monday to Friday, this service is tailored to meet your specific needs.

We also offer flexible support for one-off occasions (single site visit). If you need us to provide access to the site for contractors, open or close the site for a planned letting, or simply cover a short-term absence with a single visit, our daily support rate offers a convenient solution.

At KeyPoint, we go beyond standard support. From school access arrangements to heating and boiler management, our team is ready to assist in line with your instructions. Just let us know your specific requirements at the time of booking, and we’ll ensure everything runs smoothly. Need us to adjust boiler settings or manage bespoke access? Provide the details, and we’ll take care of the rest.

Weekend Security

Our weekend site checks ensure your premises are safe, secure, and ready to welcome staff and pupils on Monday morning. This includes a full security check of all access points; doors, windows, and external areas, with any visible hazards such as broken glass or debris cleared if needed.

We’ll report any damage promptly and can assist with initial response measures to help minimise disruption and maintain a safe environment.

Site Testing

Where full-week key holding is required, KeyPoint can also carry out routine site tests, including fire alarm checks and legionella monitoring, to help you meet statutory obligations.

These are typically scheduled over weekends to minimise disruption and are fully logged and documented for your records.

On-Call Service

Our on-call service provides peace of mind that help is available when your regular site contact is unavailable. By securely holding a full set of keys for the academic year, KeyPoint acts as a reliable second point of contact for emergency callouts, including intruder or fire alarm activations, 24 hours a day, 7 days a week, 365 days a year.

To ensure we’re fully prepared to respond promptly and appropriately, we will, where necessary, arrange a site visit at a mutually convenient time to familiarise ourselves with your school’s layout, access points, and security procedures.

To guarantee a swift and effective response, we request that two full sets of keys be provided.

Callout Response and Incident Management

Each emergency callout includes a thorough internal inspection of the activation area, a full security check, and re-securing of the premises to ensure site safety. We will liaise with the Civic Centre Control Panel (or equivalent monitoring service), alarm engineers, and the Police where required, providing a coordinated and responsive presence.

Should any damage be identified, our team will assess the situation and, where possible, carry out temporary measures to secure the site. We’ll ensure the building is made safe and accessible, and where larger-scale damage occurs, we’ll support arrangements for contractor attendance, using contact details provided by the school.

Relief Caretaker

When staff are absent longer term or positions become vacant, KeyPoint offers flexible caretaker cover from Monday through to Sunday to help keep your site running smoothly. Our relief service includes a wide range of general caretaker duties, tailored to your specific needs and agreed in advance to ensure continuity.

Where required, we can also maintain ongoing site responsibilities such as fire drills, legionella checks, and routine testing, supporting compliance and consistency during periods of transition.

If you're facing a gap and need to start considering recruitment, let us explore how we can assist on a more sustained basis.  We offer the option of a fully trained Caretaker to be stationed at your school on a long-term agreement on a yearly basis, eliminating the need for you to recruit for the vacancy yourself. Check out our package options or give us a call to discuss in more detail.

On-site Caretaker training

KeyPoint offers tailored, on-site training to support newly appointed caretakers in confidently understanding and carrying out their duties. This service provides practical guidance and expert advice covering all aspects of the caretaking role, helping to establish clear routines and expectations from day one.

It can also serve as a valuable refresher for long-standing caretakers who may benefit from additional support or upskilling. Training is delivered flexibly during the school day, after hours, or during holiday periods, to suit your scheduling needs.

Where appropriate, staff will also be signposted to relevant Health & Safety training, including legionella awareness, asbestos control, and general site safety. Following the agreed training period, a comprehensive report can be provided for your school’s records.
